Laptop Loaner Program: Frequently Asked Questions

Long-Term Technology Loan Request Program

Frequently Asked Questions

What is the process for requesting and checking out a long-term laptop?

First, fill out the application.  If approved, you will be contacted by email and we will set up a time for you to come the University Library to pick up your laptop and sign the agreement form.  Please expect to spend at least 30 minutes here--you must log on for the first time here, and it sometimes takes time for the software to load.

How much does it cost?

Checking out a laptop from the library is free!

We do charge if the laptop is damaged and requires repair. You can borrow the laptop for up to a semester at a time, but you will be charged $10 per day each day you fail to return the laptop after the due date.  We also bill the item's replacement cost if the item goes into "Lost" status.

When do I need to bring the laptop back?

Laptops are checked out to you for 1 semester. The due date is the final day of each semester at 5:00.  Feel free to contact us if you've forgotten or you're running late. It should also be on your check-out receipt that was emailed to your A&M-Central Texas email upon check-out. You are able to renew if you are enrolled in the next consecutive semester. If you withdraw from all classes during the semester, you must return your laptop as you no longer meet the requirements to check out the device. Please bring it at your earliest convenience to the Library. We perform enrollment checks throughout the semester, so you may receive an email prompting you to return the device if you are no longer enrolled in the current semester.

What is my log in for this laptop?

You will use your A&M-Central Texas email and password to log in to the laptop. The first time you log in, you will need to do so inside the library.  Library staff will assist you.

What happens if my laptop needs a repair?

Please bring it to the library or IT as soon possible. If you leave the damage for a long time, it may cause more damage in other areas. If we have an extra loaner laptop, we will place this with you while your other device is being repaired. Our IT department assesses the damage first. Sometimes, IT is able to fix the laptop with spare parts. If this is the case then the repair is free. If IT does not have the spare part, it goes to the manufacturer and they bill us for the repair. The repair cost never exceeds the full replacement cost. For example, some screen replacements cost around $150 for repair. If IT determines that the laptop is damaged beyond repair, then the full replacement cost is billed.

What do I do if I can't return the laptop by the due date?

We can provide a 1 week extension for returning the laptop. Afterwards, this will go into "Lost" status in our system. Please let us know as soon as you can if this is the case.

Can I have this laptop again next semester?

If you are enrolled in the next semester and there is nobody on the waiting list for the laptop, then yes, you can renew your device. You can call or email around the end of the semester to enroll. If you are not enrolled in the next semester, then no, you must return the laptop.
